Prioritizing is sexier than you think

When our partners met at the beginning of the year to assess our progress and talk through our growth strategy, we asked ourselves this question: 

What’s the one thing that’s keeping our business from thriving?

It didn’t take long for us to identify it. 

It’s time.

We’re sure you can relate. We’re all working to achieve “work-life balance.” We’re all thinking about self-care. But it’s elusive. Or perhaps just fleeting.

What felt extra difficult as we were talking through our challenges is that we’re not just trying to achieve work-life balance by helping ensure that we have enough steam left over at the end of the day to tend to the important relationships and tasks in our personal lives. We’re also struggling to achieve work-work balance. Every day, we feel the tension between our roles as working consultants and our roles as leaders of the firm. (And you better believe we’re grateful that the three of us are doing this together. Trying to do this alone would be even less sustainable.)

It’s humbling to face, nearly every day, how limited your resources are. But we’re convinced that it’s possible to make the balance more achievable, at least. Even in the face of demanding client work plus recruiting and resume review, pricing development, insurance and finance tasks, teambuilding, and meetings, meetings, meetings, we think there’s a better way to work. 

It helps to have grit and grace. Try saying to yourself in the morning, “You’ve got this,” and in the evening, “You did the best you could.” A clear path to productivity may be evasive, but at least we can be kind to ourselves.

It also helps us to approach our work without fatalism. We chose to do this work. We’re glad to be doing it. We love that it’s been successful so far. In fact, we remind ourselves regularly that the day we’re unable to accept where we are and show up to do the best we can is the day we need to pass the work over to someone with the energy and capacity to take it from here. 

We’ve discovered that staying focused enough to keep on keeping on, every single day, requires one fairly unsexy but incredibly important skill: Prioritization

How do you prioritize?

Part of doing your best, we believe, is doing the right things in the right order. In the worlds of business and government, “prioritize” is a pretty casual—and sterile— term. Talk about unexciting! But we’d like to recast the concept for you. There’s an art to figuring out the next right thing. And once you figure it out, prioritization can be the portal to finding your work groove.

And it’s simple

The key to prioritization is to ignore the forest and focus on a single tree. What’s the one thing you need to do right now? What’s your single priority?

At any given moment, that’s the question you can ask yourself to shake yourself free of the destructive twin habits: manically jumping from one task to another or freezing, unable to start a single task. (There’s no such thing as multitasking, remember?) Forsake the plural when you’re working. It’s all about one thing

Tips to help you focus and prioritize

When it comes down to it and it’s just you, your keyboard, and the task, what happens then? How do you keep yourself from drifting into another task? How do you focus?

Here are a few tricks we use to keep ourselves focused: 

Journal as a precursor to work. Put pen to paper just before you get started. Try writing down the things you’re grateful for. Or write down the one thing that’s vital to tackle first or to finish before the end of the day. Writing it down will help you identify and remember the one thing the rest of your work will orbit around for the day.

Create a (paper) to-do list. Speaking of pen and paper, few things are as satisfying as crossing out or checking off a task on a handwritten list. Create a moment of joy for yourself by writing down what you’re to be working on so you can mark it off at the end of the day.

Separate your to-do list into high- and low-importance tasks. Put time-bound tasks in one column (this is the do-first column) and others in another. Designate time at the start of the day for responding to important requests. Then move on to more in-depth work.

Or make your list just one item long. Once your high-priority tasks are done, put a single task on your to-do list and don’t add a second thing until the first one is done.

Use your calendar for good. Choose some blocks of time every week when you can work for an uninterrupted period of time and mark as a “do not schedule” block. This communicates to you or to your scheduler that this time is off-limits for meetings. 

Use white noise as a cue to focus. Turn on a noise machine or a fan to create soothing background sounds. Or try an app like Noisli.

Turn on some soothing music. Like white noise, music can help you filter out other distractions so you can focus on the task in front of you. Spotify playlists and piano music work for us.

Tap a colleague to review your work. In addition to providing you with accountability via a false deadline, asking someone to look over your work can inspire you to focus so you can turn out excellent work.

Work together. Co-working, virtually or in person, is a great way to push yourself to start or to finish up a task. Just knowing someone else is focusing on their own work can be inspiring. It’s a casual, effective way to get things done.
